1. Set your budget and define the watch you want
Start with the exact brand, model or reference, approximate production era, and accessories you want. Set a budget for the whole purchase, not just the asking price: allow for possible servicing, worn-part replacement, shipping or insurance, and applicable taxes. These are planning costs, not a prediction of what any particular watch will need.

Before contacting a seller, decide what you are willing to accept in condition and originality. A replacement part or missing accessory may be acceptable, but it should be disclosed and reflected in your decision.
2. Vet the seller before you assess the watch
Ask for the seller’s full contact details and, for a business, its business identity. Request clear, current photographs of the exact watch, written condition disclosures, available provenance and service records, and the complete return and warranty terms. Keep answers in writing. The Watch Register’s 2023 due-diligence guidelines recommend beginning with seller identity and recording the watch’s ownership history.

- Confirm who is legally selling the watch and who will issue the invoice.
- Ask whether the exact watch is physically in stock and available for inspection.
- Read how long you have to return it, how to initiate a return, and who pays shipping and insurance.
- Identify who provides any warranty, how long it lasts, what it excludes, and whether it transfers to another owner.
- Be cautious if the seller pressures you to pay before answering questions or completing checks.
3. Check authenticity and identifiers without opening the watch
Compare the reference and any visible serial or case identifiers with the paperwork and listing. Check that the dial, hands, case, bracelet, clasp, and movement are represented accurately. Ask the seller to disclose non-original parts and service replacements. The Watch Register recommends checking serial numbers against paperwork and checking the watch and its parts, including the movement.
Do not treat a box, papers, or warranty card as proof of authenticity by themselves. Their value for due diligence depends on whether the identifiers and details correspond to the specific watch being sold.

Do not remove the case back yourself. Patek Philippe explains that a watch’s movement number is engraved in the movement and case number is inside the case back, and says case-back removal should be done only by an Authorized Retailer or Authorized Service Center. Arrange an inspection by a qualified professional instead; that guidance is specific to Patek Philippe, while professional inspection is a prudent option for other watches too. When to get an independent inspection
Use an independent watchmaker or other qualified specialist when the watch is valuable, its originality is uncertain, records are thin, or the seller’s checks do not address your concerns. Agree in advance on who will inspect it, what will be examined, and whether the seller permits inspection during the return period. A photograph or external magnification cannot establish what is inside the case.

4. Check ownership and stolen-watch status
For a high-value watch, consider a search of an appropriate watch register and ask for a current check in your name if the service offers it. The Watch Register advises checking luxury pre-owned watches even when they come with a box and papers. It also warns that its database is not exhaustive because not every loss or theft is reported, and that a result reflects status only when the search is submitted. A clear result is one check—not proof of clear title. Combine it with seller identity verification, recorded provenance, matching identifiers, and a detailed invoice. 5. Assess condition and service history
Ask when and where the watch was last serviced, what work was performed, which parts were changed, and whether receipts or service documentation are available. Ask specifically about timekeeping, power reserve, crown and pusher function, crystal and case damage, bracelet stretch, known faults, and any water-resistance test.

Treat missing records as unknown history rather than evidence that the watch has never needed work. If condition or service needs are uncertain, obtain a watchmaker’s estimate before committing. Do not infer present-day water resistance from a vintage model’s original rating.
What a certified program does—and does not—tell you
Program labels are not interchangeable. Ask who authenticated the watch, whether the movement and parts were checked, what servicing and tests were completed, and precisely who backs the warranty. Rolex says its Certified Pre-Owned watches are authenticated in Rolex workshops, fully serviced and tested, and sold through participating Official Rolex Retailers with a two-year international guarantee. Rolex notes exceptions for water resistance and original precision on some of its oldest watches. These statements apply to the Rolex Certified Pre-Owned program, not to every used Rolex or every pre-owned watch. 6. Compare buying routes on the protections that matter
Compare each specific offer, not just its label. An inspection, a service, water-resistance testing, and a warranty are different things; establish what was done and who is responsible if something is wrong.

For every route, compare who authenticates the watch, whether its movement and parts are examined, what service is completed, who provides the warranty and whether it transfers, the return window, whether the exact watch is in stock, and total cost including likely service needs. Do not assume a private seller’s assurance is equivalent to formal brand certification.
7. Complete checks, then pay and keep a clear record
- Finish seller, identifier, provenance, condition, and any register checks before sending payment.
- Use a traceable payment method and retain the transaction record. The Watch Register recommends secure payment after checks are complete.
- Get a detailed invoice naming the seller and identifying the watch, including its serial number. Keep the listing, written answers, inspection findings, service records, warranty, and return terms with it.
- For a remote purchase, follow the written return process and retain shipping documentation if you send the watch back.
Do not assume consumer rights or marketplace protections are identical across countries or sellers. Check the rules applicable where you are buying and where the seller is based; the protections available depend on jurisdiction and transaction details.
