To document a luxury watch, create a secure record that ties its exact identity, ownership, condition, and current value together. Keep photographs, purchase and service documents, and a suitable valuation with the watch’s inventory entry. If it is stolen, report the loss through the appropriate local and insurance procedures and preserve the report reference. These records can support a claim, but no single document guarantees coverage or reimbursement.
What to record for each watch
Make a separate inventory entry for every watch. Include enough detail to distinguish it from similar models, then keep the related images and paperwork clearly connected to that entry.

- Identity: Brand, model or reference number, and serial number if it is safely visible or available in the watch’s papers. Add distinctive features that help identify this particular example.
- Purchase details: Purchase date and seller, if known, and the receipt, invoice, or bill of sale.
- Condition and history: Describe the condition and any distinctive marks, modifications, or service history. Keep available service records and warranty documentation.
- Value: Keep a current valuation that identifies the watch and states the relevant replacement value.
Do not guess a hidden serial number, alter one, or open the watch to look for it. If you cannot safely find identifying information, ask the brand or a qualified watchmaker how to obtain it.

Take clear photographs that show the watch itself, not just a person wearing it. At minimum, photograph the dial and the front and back. Add close-ups of distinctive details where they can be captured safely, without opening or risking damage to the watch. A steady phone on a stable surface is sufficient; a tripod or stand is optional.

Keep the original image files where possible, and name them or the inventory entry consistently so each image can be matched to the correct watch. A wearing photograph may help show possession, but on its own may not identify the specific watch, establish authenticity, or substantiate value.
Keep ownership records connected to the watch
Store the receipt or bill of sale, warranty card, service records, photographs, and valuation alongside the watch’s inventory entry. Consistent file names make it easier to match each document to the right item if you need to submit evidence later.

TH March, a UK insurer, asks for watch make, model, and serial number, images of the front and back, the original purchase receipt, and images of the warranty card as part of its watch valuation submission process: TH March valuation requirements. This is one insurer’s process, not a universal list of claim requirements.
Get a valuation that fits the watch and the policy
Before arranging a valuation, ask your insurer or broker what it needs and what value basis applies. A useful valuation identifies the watch and explains its applicable replacement value. The relevant basis can depend on whether the watch was bought new or pre-owned.

TH March’s UK submission process requires the jeweller issuing the valuation to see the watch, and calls for a signed, dated valuation from an identified jeweller or independent valuer. It specifies new replacement value for a watch bought new and second-hand replacement value for a pre-owned watch; for its process, the valuation must be no more than three years old. Check what your policy requires
Policy limits, deductibles, exclusions, scheduling rules, and evidence requirements vary. Check your policy wording and schedule, and ask your insurer or broker how the watch is covered before relying on a general guide or arranging an appraisal.

- What limits and deductibles apply?
- Does coverage include theft, accidental damage, and loss, or only specified events?
- What valuation, appraisal, or other claim evidence is required, and how recent must it be?
- What geographic or travel limits apply?
Progressive’s consumer guidance describes limits, deductibles, scheduling, and appraisal requirements for its US homeowners, renters, or condo policy context. - Report the theft promptly to local police or the competent authority, following local procedures.
- Keep the report or incident reference and contact details for the authority. Follow your policy’s instructions for notifying the insurer and submitting a claim.
- Provide accurate identifying details when requested, such as the watch’s serial or reference number and a precise description. Keep copies of correspondence and everything you submit.
If the stolen watch is a Patek Philippe, its manufacturer theft-registration process asks for a crime report from a competent official authority that shows the theft reference and the watch’s serial number, along with the issuing authority’s contact details. Patek Philippe says: “We will not be able to guarantee the registration of the theft of your watch if any of these documents is missing.” That statement concerns the manufacturer’s registration process; it does not replace local reporting or your insurer’s claim requirements. Why multiple kinds of evidence matter
Evidence is strongest when it helps establish several things together: which watch was involved, that you owned or possessed it, its condition, and a defensible value. Photographs, receipts, service documents, and a valuation can each contribute different information; one item may not establish everything.
An Australian Financial Complaints Authority knowledge article describes a particular dispute in which photographs and a claimed serial number were presented, but valuation and documents verifying age, model, or authenticity were missing. The authority concluded that the information supplied at that point did not sufficiently demonstrate a claimable loss. It is an example of why corroborating records can matter, not a rule that every claim requires every document mentioned: AFCA’s jewellery insurance knowledge article.
Store records securely
Keep a secure, accessible copy of your inventory and documents, with a separate backup in case one copy is lost. Avoid posting serial numbers, receipts, or sensitive ownership details publicly. Make sure a trusted person can locate the records if you cannot access them yourself.
