Check whether the paperwork identifies this exact watch, describes who serviced it and what they did, and can be verified independently. Then compare the records with the watch, ask how the seller acquired it, and preserve an invoice identifying both seller and watch. Documents are useful evidence—not proof by themselves of authenticity, legal ownership, or current mechanical condition.
What a useful service record should show
A record is more meaningful when it connects a specific watch to a specific provider and a defined piece of work. Ask for the original or a legible copy of each service invoice, service card, estimate, or warranty document the seller says accompanies the watch.

- Watch identity: A serial number, reference, or other identifying detail that matches the watch and its associated documents. Avoid publishing the full serial number in a public listing or message board.
- Provider: The named manufacturer service centre, authorized provider, or independent watchmaker. Check the provider’s identity rather than relying only on a logo or printed contact details.
- Date and scope: When the work occurred and what was inspected, repaired, adjusted, or replaced. “Just serviced” without supporting detail is a seller’s unverified statement, not an itemized record.
- Parts disclosure: Which components were replaced, and whether removed parts were retained or returned. This can matter when assessing originality as well as the scope of the work.
- Any service guarantee: Whether one remains, what it covers, and whether it transfers to a new owner. Terms vary; confirm them with the provider.
A 2026 secondary guide likewise recommends assessing service documentation by its watch-specific details and cautions that service history alone does not establish authenticity or future reliability (VERTU’s guide to pre-owned watch service records).

- Compare identifying details. Match the record’s serial or reference details against the watch and related paperwork. If a seller will not provide enough information for a private, sensible check, treat that as unresolved rather than assuming the documents belong to the watch.
- Contact the provider independently. Find current contact details on the service provider’s official website, then ask whether it can confirm the document, the service date, and the recorded work. Do not use only the phone number or email address printed on a document supplied by the seller.
- Ask for the seller’s ownership account. Request a clear account of how and when the seller acquired the watch, and ask for the purchase invoice or other transaction documents they can provide.
- Get your own transaction record. Keep an invoice that names both seller and watch, including its serial number. The Watch Register’s 2023 due-diligence guidelines recommend asking about ownership history, checking luxury pre-owned watches even when box and papers are present, and keeping an invoice that identifies the seller and watch (The Watch Register’s Due Diligence Guidelines 2023).
- Arrange an inspection when the stakes justify it. A qualified watchmaker or the manufacturer can examine the watch when its price, condition, originality, or paperwork warrants closer scrutiny. The inspection addresses the physical watch; it does not replace checks of seller identity and transaction documentation.
Documents corroborate claims only to the extent that they are genuine and correctly matched. They do not by themselves establish lawful title or show the watch’s present condition.

What different kinds of papers establish
Do not treat an invoice, archive extract, certificate of origin, warranty document, and proof of ownership as interchangeable. Their purpose and evidentiary value differ, and the exact document’s issuing organization and terms matter.
Service invoice or service card
This records work attributed to a provider. Its value depends on whether it identifies the watch and details the work. It is not, by itself, proof that the seller owns the watch or that every component is original.
Certificate of Origin and archive extract
Patek Philippe says its Certificate of Origin identifies movement, case, and reference numbers, while its Extract from the Archives is a partial transcript of archive records. The brand’s current page says an extract is available only for a watch whose first sale was more than 10 years before the request; it limits requests to one extract per 12 months and lists a CHF 500 fee, refundable if the watch is ineligible. The request requires photographs for visual comparison, with a limited service-invoice alternative during the service-guarantee period. These are Patek Philippe-specific conditions and can change; check the brand’s current Extract from the Archives FAQ before relying on them.
Recommended Free Tools
Longines says it has preserved serial-number history since 1867, offers an official archive extract only for timepieces more than 10 years old, and describes an authenticity certificate when its watchmakers authenticate a watch (Longines: History of my watch). That does not establish that other manufacturers keep equivalent records or offer the same service.

Period-specific heritage documents
Breguet’s Heritage Department describes expertise for antique watches and clocks, with a possible archive extract for pieces made after 1989 or a handwritten authenticity certificate for pieces made before 1989, depending on the period and available registers (Breguet: Authenticate a timepiece). These are brand- and period-specific options, not a general guarantee that documentary searches can authenticate every vintage watch.
Warranty and ownership documents
A warranty sets out coverage under its own terms; it is not a transaction invoice or a complete account of ownership. A seller’s invoice or other transaction document can help establish the sale and identify its parties, but it does not substitute for inspecting the watch or checking whether it is reported stolen.
When a manufacturer-backed certified pre-owned programme matters
A programme label is useful only when you know who performed the checks, what they cover, what documents and guarantee are provided, and which seller is participating. Do not assume a private seller’s use of “certified” means a manufacturer performed equivalent work.

Rolex says its programme applies to qualifying second-hand watches at least two years old sold by participating Official Retailers. It says programme watches return to Rolex workshops for configuration verification and component checks, are fully serviced and tested, and receive a new two-year international guarantee (Rolex Certified Pre-Owned Programme). Those conditions describe watches sold under that programme, not all pre-owned watches or all sellers.

Vacheron Constantin Certified Pre-Owned
Vacheron Constantin describes inspection by one of its watchmakers and service as appropriate, with a programme seal, guarantee letter, physical warranty card, and pouch (Vacheron Constantin Certified Pre-Owned). Confirm current conditions through an authorized channel; programme terms should not be generalized to other brands or sellers.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Compare purchase routes by evidence and recourse
A stronger label or a thicker document pack is not automatically the better deal. Compare what the specific seller and route actually provide:
| What to compare | Questions to ask |
|---|---|
| Inspection and authentication | Who inspected the watch, what did they check, and can the provider or programme confirm it? |
| Record match | Do the documents identify this particular watch, and can the issuer verify them? |
| Service and parts | What work was done, when, and which parts were replaced? |
| Guarantee | Who honors it, what does it cover, how long does it last, and does it transfer? |
| Transaction protections | What invoice, return terms, and dispute process will you have if a material claim proves incorrect? |
| Total price | Is the price justified by the checks, documentation, guarantee, and recourse actually included? |
Private sales, specialist sellers, and manufacturer-backed programmes can offer different combinations of evidence and recourse. Compare the actual terms for the watch and seller rather than treating one purchase route as a universal standard.

A service record is historical evidence; it does not establish the watch’s current accuracy, condition, or water resistance. There is no universal service interval, accuracy expectation, or water-resistance level that applies to every brand and model. If you intend to expose the watch to water, request a current test appropriate to that watch and intended use, and confirm the manufacturer’s guidance or ask a qualified watchmaker.
