An estimate is a preliminary expert opinion, not a guaranteed price, so the goal at this stage is clarity: knowing what the item is, what it is not yet known to be, and what you would actually receive after charges.
Step 1: Record what you know about the item
Write the facts down before you contact anyone. Specialists work from accurate description, and an honest note of what is unknown is more useful than a guess.
Watches
- The brand, model, and any reference number visible on the dial, caseback, or movement plate.
- Any serial information you can read safely without opening the case.
- Known purchase history: where and roughly when it was bought, and from whom.
- Whether you have the box, papers, receipts, warranty cards, or service records.
Do not open the case or attempt repairs to find these details. Ask the watch specialist which information is useful and how to provide it safely. Ineichen Auctioneers states on its “Sell Your Watches” page (accessed 2026-10-09) that online estimates remain subject to physical examination and market conditions.
Silverware
- The form of the piece, such as flatware, a teapot, a serving spoon, or a plate.
- Dimensions or weight, if you already know them.
- Visible condition, including any dents, wear, or repairs.
- Every mark you can see, recorded exactly as it appears.
Sotheby’s “Selling Antique Silver with Sotheby’s” page (accessed 2026-10-09) notes that hallmarks and maker’s marks can indicate purity, place, date, and maker. Those are interpretations for a specialist to confirm. If you are unsure what a mark means, describe it as an observed mark rather than asserting an attribution.

Step 2: Photograph the item without concealing anything
Sotheby’s Help Center guidance, last updated 2026-04-02, recommends four to six photographs from different angles where possible, with clear views of the whole item and its details. Use natural light to reduce glare. For silver, the same guidance notes that a darker background often shows the piece better.
- Shoot the whole item from the front, back, and both sides, with a plain background.
- Take close-ups of every hallmark, maker’s mark, serial, or inscription, close enough that the characters can be read.
- Photograph wear, scratches, dents, repairs, missing components, and any unusual feature, even if it seems minor.
- Keep the original files unedited. Do not retouch or crop out flaws.
Photographs document the item; they do not prove authenticity, provenance, or value. Describe condition plainly and disclose known damage or repairs in the same message.

Step 3: Gather only the records that already exist
Assemble what you have. Do not create paperwork that does not exist, and do not imply that optional documents are required.
- Receipts and past bills of sale.
- Prior appraisals and certificates.
- Provenance information, such as family ownership history or a previous owner’s name, if you know it.
- Previous auction references, including catalogue entries or lot numbers.
- Service records, for watches especially.
Sotheby’s consignment guidance, “Roadmap for Consigning Property At Auction” (approximately 2024), notes that supporting records help a specialist review an item, but none of them is a guarantee of a result.

Step 4: Request an estimate from the right specialist
Contact an auction house or auctioneer with a department that handles your category: a watch department for timepieces, a silver department for silverware. Submit the photographs, your factual description, your location, and any records, using the channel and details that house requests. Submission channels and minimum consignment requirements differ between houses.

- Whether the estimate is based only on photographs or follows an in-person inspection.
- Under what circumstances the estimate could change.
- Whether the house needs to examine the item before it can confirm a figure.
- Whether you are requesting a sale estimate or a formal valuation for another purpose, such as tax, insurance, or inheritance. Bonhams distinguishes auction estimates from those formal valuations, and the two serve different functions.
Bonhams’ seller guidance, accessed 2026-10-09, states: “Auction estimates based on photographs are preliminary only and may change based on first hand inspection and further research.” Sotheby’s silver team says it weighs rarity, condition, provenance, and current market demand when recommending a sale route. Those factors, not the photographs alone, shape the recommendation.

Compare two or more offers on the same axes: specialist fit, whether the estimate needs an inspection, the reserve relationship to the estimate, every deduction, the proposed sale venue and timing, and the treatment of unsold items. Terms vary by house, item, sale, and location, so a comparison is only meaningful when every offer is stated in the same terms.
Shipping across borders
Bonhams warns that cross-border shipment can trigger charges, taxes, import duties, and cultural import or export controls, and that compliance responsibility rests with the owner. This article does not give tax, ownership, or export advice for any country. Before you ship or consign internationally, check the rules for the item and for each jurisdiction involved, and ask the house to state in writing which costs it will charge and which you will bear.
What not to do before the estimate
- Do not polish silver. Cleaning can remove the evidence a specialist needs to read marks and assess surface condition.
- Do not service, adjust, or repair a watch to make it look or run better.
- Do not open a watch case to look for information.
- Do not buy specialist supplies, such as loupes, polishes, or packing materials, before the house has told you what it needs.
- Do not describe an item as authentic, original, or of a particular period unless a specialist has examined it.
Ask the relevant specialist before taking any step that could change the item. The sources cited here support documenting the item and contacting specialists, not preparing it in any other way.
