To check an antique watch properly, combine four things: a careful physical examination, the identifying numbers recorded in a usable form, documentary provenance from the maker’s archive and your own paperwork, and an in-person assessment by a watchmaker or the manufacturer’s heritage department where one exists. No single document settles the question. A serial-number match or an archive extract shows what a maker’s records say about one object. It does not prove that every component on the watch today is original, and it does not describe the watch’s present condition.
What a provenance check can and cannot establish
Provenance answers the question “where has this watch been?” Authenticity answers “is this watch, or each of its main parts, what it claims to be?” Condition answers “what state is it in now?” Each question needs different evidence, and paperwork that answers one of them rarely answers the others.
Manufacturer archive extracts are the most common document buyers receive, and they are the most often misread. Jaeger-LeCoultre’s official archive-extract page states that its extracts “do not take account of the current state of the timepiece and can under no circumstances be considered certificates of authenticity.” Longines’s “History of my watch” page makes the same distinction: “An Extract from the archives does by no means certify the authenticity of the timepiece or its components.” A reader holding an extract should treat it as a historical record of the maker’s files, not as a verdict on the watch in hand.
Step 1: Preserve the evidence before handling the watch
- Photograph the dial, the case front and back, the bracelet or strap, the crown, the clasp, and every visible marking. Use even, daylight-balanced light and shoot close enough that engraving and printing are legible.
- Write down exactly what each marking says, including spelling, punctuation, and any missing or unusual characters. Note the location of each marking.
- Gather everything that travels with the watch: receipts, old service papers, certificates, boxes, warranty cards, correspondence, and the seller’s written description.
- Do not clean, polish, or re-lume the watch before documenting it. Cleaning can remove the surface evidence you will later need, and a seller who asks you to make it look newer is giving you information too.
Original surface wear is not proof of authenticity. Patina can be real or manufactured, so treat it as one observation among many.

Step 2: Record the identifying numbers, and leave the case closed
Build a single identification sheet with the following items:
- Maker, model, and reference number, as printed or engraved.
- Visible serial numbers and case numbers, with the location of each.
- Movement number, if it can be read without opening the case.
- Hallmarks on the case, with the metal fineness and any assay or maker marks.
- The date of your photographs and the names of anyone who handled the watch before you.
Movement numbers are usually not externally visible, and reaching them requires opening the case. Do not do this yourself. Patek Philippe’s authenticity FAQ states that “the removal of the case back of a wristwatch or pocket watch should only be performed by an Authorized Retailer or an Authorized Service Center.” Longines and Jaeger-LeCoultre make the same recommendation for professional opening. Jaeger-LeCoultre suggests using its boutique, an authorized retailer with a watchmaker, or an official repairer for movement photography.
Opening a case without the right tools can scratch the caseback, damage the gasket, or disturb the movement. Once a case has been opened by an unknown person, the original seal and the evidence it carried are gone, so the decision belongs to a professional with a documented procedure.

Step 3: Screen the watch against model-specific information
The question here is whether the visible features make sense together for the claimed maker, model, and period. Work through the following checks, and record any mismatch without drawing a conclusion yet:

- Hand shape, hand finish, and whether the hands move correctly for the type of watch.
- Spelling and engraving quality on the case, caseback, and movement where visible.
- Whether the serial-number format and its clarity match what the maker used in that period.
- Whether the case material and hallmarks fit the claimed metal and origin.
Italy’s Ministry of Enterprises and Made in Italy publishes consumer guidance on counterfeit watches that lists face details, serial-number clarity, engraving, spelling, and hand movement as points to examine. That guidance is general. It is a screening tool, not a method for authenticating an antique model, and it cannot replace reference material specific to the reference you are examining.
A visible number is not conclusive on its own. It should agree with the other characteristics of the watch and, where the maker keeps records, with those records. A genuine movement may sit in a non-original case, or a genuine case may contain a non-original movement. An expert’s report should say exactly which parts were examined and what the conclusion covers.

A 10x jeweler’s loupe is a useful viewing aid for reading small hallmarks and engraving. The Italian guidance notes that magnification makes precious-metal hallmarks easier to find and read. A loupe cannot confirm originality, provenance, or authenticity.
Step 4: Request records from the maker or a relevant archive
Use the manufacturer’s official heritage or service channel. Before you submit anything, ask four questions: what records exist for this reference, what identification and photographs are required, whether the watch is eligible for the service, and whether the document you will receive is an archive extract, an authentication certificate, or a handwritten statement. Service scope, production periods, and countries served differ from brand to brand, so do not assume that one maker’s process applies to another.

Use the table as a starting point, not a ranking. A museum extract that includes copies of historical documents can be more useful for a Glashütte watch than a generic certificate, while a physical examination is the only route here that examines the watch itself.

Keep one dated file for each watch. It should include:
- Your identification sheet and photographs from Step 1 and Step 2.
- The purchase or inheritance context: date, seller or source, price paid, and how the watch was transferred to you.
- Names of earlier owners where documented, with the evidence for each name.
- Service history, including the watchmaker’s name and date, and what work was recorded.
- Copies of all correspondence with the maker, archive, or examiner, and the responses received.
Store originals safely and label copies as copies. A chain of documents is strongest when each link is dated and consistent with the others. If a receipt, service paper, and extract disagree on the reference, serial, or dates, record the discrepancy rather than resolving it in your favour.

Keep authentication, provenance, and valuation separate
Three different questions are often merged into one request. Authentication asks whether the watch or specific components are genuine. Provenance records the documented history of ownership, service, and sale. Valuation estimates what the watch might sell for or what it should be insured for. Patek Philippe directs resale-value questions to an auction house or specialized dealer, and Vacheron Constantin recommends a specialist auction house for a collector-market estimate. Neither an archive extract nor a certificate of authenticity should be treated as a valuation.
Choosing the right check
- If you only need to know what the maker’s records say about a watch’s history: request an archive extract, and read its scope statement before relying on it.
- If you need to know whether the watch itself is genuine: choose a service that includes physical examination by the maker’s experts or by a qualified watchmaker, and ask in writing which parts were examined.
- If the movement or case number is needed: take the watch to an authorized retailer, authorized service center, or experienced watchmaker who will open the case under documented conditions.
- If you need a market or insurance value: go to a specialist auction house or specialized dealer, which is a separate step from authentication.
When the records and the watch do not agree
- The serial number appears in the archive but the case or movement looks wrong: ask an examiner to compare the visible features with the maker’s reference data before accepting the extract as support for the watch.
- The seller’s paperwork names a model the watch does not match: record the mismatch, request the maker’s records for the reference actually present, and do not complete the purchase until the discrepancy is explained in writing.
- The maker has no records for the number: this does not prove the watch is not genuine. Earlier records may be incomplete, and the maker may only be able to say so. Ask an independent watchmaker or a specialist to examine the watch.
- The case has already been opened by someone unknown: record what the opening person did, if known, and ask an authorized service centre what can still be established.
Bottom line
A complete check uses several sources that do different jobs. The watch’s own features and numbers are the starting point. Maker archive extracts and museum records explain the documented history. Physical examination by an authorized or qualified expert addresses authenticity of the watch and its components. Keep those answers separate, and do not accept an extract as a certificate of authenticity or a certificate as a statement of current value.
