A repair, a consignment sale and an outright sale are different transactions; make sure the paperwork says which one you are agreeing to. The rules on receipts, repairs and responsibility vary by location, so do not assume one country’s consumer protections apply everywhere.
Before you hand over the jewellery
Document the item and its condition
Take clear photos of each piece from several angles before it leaves your possession. Record identifying details such as engravings, hallmarks, the number and appearance of stones, clasps, detachable parts, and any existing scratches or damage. Keep any appraisal, purchase paperwork or other records that help identify it.

Ask the dealer to put the description and observed condition on a dated receipt, and check that it matches what you handed over. A receipt is useful evidence of custody and condition; it is not necessarily proof that the dealer independently verified a stone, metal or valuation. UK Insolvency Service guidance for official receivers handling high-value items calls for a detailed written receipt and distinguishes reported descriptions from independently verified material or quality. That is a useful recordkeeping model, not a rule for private jewellery dealers: UK Insolvency Service custody guidance.
Make the dealer and handover identifiable
The receipt and agreement should identify the business, the date, the person accepting the item and a clear way to contact the dealer. Keep copies of the receipt and any signed terms rather than relying on a verbal promise or an unrecorded conversation.

Specify which arrangement you are making
Do not leave the item under vague instructions such as “see what you can get” or “fix it up.” The paperwork should state whether the dealer is doing repair work, offering the item for sale on consignment, or buying it outright.
| Arrangement | What the written terms should say | Question to settle before handover |
|---|---|---|
| Repair | Work authorized, estimate or price, approval for additional work, expected completion date and collection process. | What work may be done, and how will the dealer get approval if the estimate changes? |
| Consignment sale | Asking price or minimum acceptable price, commission and other fees, authority to accept offers, consignment period, payment timing and return arrangements for unsold jewellery. | Can the dealer discount or accept an offer without your approval, and when will you be paid? |
| Outright sale | Agreed purchase price, item description, payment method and timing, and that ownership transfers to the dealer. | Are you selling the item now, or only authorizing the dealer to try to sell it later? |
Across all three arrangements, record what happens to the jewellery while the dealer has it, how you can retrieve it or receive proceeds, and how a disagreement will be handled. Keep an inventory and your own copy of every signed document.
If the dealer is repairing the piece
Limit the authorization
Write down the specific repair requested, the quoted or estimated price, and the expected completion date. State that the dealer must contact you and obtain approval before doing extra work or exceeding an agreed amount. Ask for an itemised bill where appropriate, and agree how you will be notified when the work is finished and how the item will be returned or collected.

Rules about repair notices and itemised bills are jurisdiction-specific. In Australia, the Competition and Consumer Act includes provisions concerning proof of transaction, itemised bills and prescribed repair notices within their specified scope: Competition and Consumer Act 2010. The ACCC says the business that accepts a product for a covered repair is responsible for the repair notice, and recommends discussing the notice and getting clear permission as good practice: ACCC repair, replace, refund and cancel guidance. These Australian provisions should not be treated as universal rules for repairs elsewhere.

If the dealer is selling it on consignment
Agree the selling and payment terms
Set the asking price or minimum price you will accept, the dealer’s commission and any other fees, and whether the dealer may accept a lower offer without asking you first. Also record how long the consignment lasts, when proceeds are due after a sale, and how and when an unsold item will be returned. Be precise about who pays any agreed return or handling costs.
These are practical contract points, not a claim that every jurisdiction requires this exact list. Ontario consumer guidance illustrates the value of written contracts and receipts in specified transactions, but the rules depend on the transaction and location: Ontario guidance on consumer contracts.
If the dealer is buying it outright
Get the agreed purchase price and payment method and timing in writing, alongside a description of the jewellery and clear confirmation that this is an immediate purchase—not a consignment arrangement. Keep the receipt and payment record. A valuation or appraisal can describe an assessed value, but it does not guarantee the price a dealer will offer or the amount an item will sell for.

Ask who covers loss or damage
Ask the dealer directly whether its insurance covers customer-owned jewellery while it is on the premises, in transit, or with a subcontractor. Find out about coverage limits, deductibles, exclusions and the process for making a claim. Ask for the answer in writing, and check your own home or renters policy rather than assuming it covers an item in a dealer’s custody.
Rank #3
Do not assume either that the dealer’s policy covers your particular item or that the dealer is legally responsible in every circumstance. Insurance coverage and legal responsibility are separate questions, and the answer can depend on the policy, the written agreement and local law. UK Insolvency Service guidance says official receivers should obtain adequate insurance for high-value property held in custody, but that guidance concerns official custody, not a private shop: UK Insolvency Service custody guidance.
Keep records and respond promptly to a problem
Keep your photos, item description, appraisal or purchase papers if available, dated receipt, signed terms, messages and payment records together. Note the agreed completion, return or payment date and follow up if it passes without an update.
If the item is lost, damaged, not returned or the sale proceeds are disputed, gather those records and contact the dealer using its written complaint process. If you cannot resolve the issue, contact the consumer-protection body or seek legal advice in your jurisdiction. NSW, US and UK consumer guidance describes local routes and rights; those systems are not interchangeable. NSW jewellery guidance discusses receipts, consumer guarantees, valuations and remedies in its Australian context: NSW jewellery consumer guidance. For US jewellery transactions, the FTC recommends researching sellers, getting policies in writing and keeping written details relied on: FTC guidance on buying jewellery.

UK hallmarking rules, for example, concern jewellery described as precious metal and include exemptions; they do not settle who bears a loss in a private handover: UK hallmarking guidance.
