Save the listing, seller messages, payment records, watch photos, and every document; then arrange an inspection of the exact watch and ask for a written explanation. Missing papers alone do not prove a watch is counterfeit, but paperwork for a different watch is not evidence for the one being offered.
First, identify what is missing or mismatched
“Papers” can mean several different things, and they do not all establish the same facts. A box is not a watch-specific certificate; a service invoice records work only to the extent that it identifies the watch and the service performed.

- Warranty card or certificate of origin: Check what identity details the document records and whether they correspond to the watch.
- Service invoice or service card: Look for the provider, date, work performed, and a reference or serial linking the record to this watch.
- Archive extract: This may describe information held in a brand’s historical records, but it is not necessarily a replacement for an original certificate.
- Box or accessories: These may be included with a sale but do not, by themselves, establish the watch’s identity or ownership history.
Write down exactly which item is absent or inconsistent. Compare the watch’s visible brand, model or reference, and any serial number that can be read without opening the case with the descriptions and numbers printed on the documents. A paper showing another serial or reference must not be treated as proof for the watch being sold.
What to do before paying—or after the purchase
- Pause the transaction if it is still pending. Do not pay or accept a final sale until the discrepancy has a documented explanation and you are satisfied with the inspection and transaction terms.
- Preserve the evidence. Save screenshots of the listing and messages, the invoice or receipt, payment transaction details, photographs of the watch and visible markings, and images of every document as received. Keep originals where possible. Avoid posting full serial numbers publicly; share them privately with the relevant professional or screening provider.
- Ask the seller for a written explanation. Have the seller identify each document and explain why it is missing or differs. If a number or reference does not match, ask for the matching record or an explanation that can be checked with the document’s issuer.
- Make inspection a condition of sale where possible. Contact the brand through its official channel, an authorized service center, or a qualified watchmaker. Do not rely only on contact information printed on a document whose authenticity is in question.
- Request a written result. Ask the inspector to identify the watch examined and say what was checked. A report can document consistency or concerns, but it may not establish the watch’s complete ownership history.
- If you already bought it, act promptly. Contact the seller and the marketplace or payment provider, preserve all communications, and review the transaction terms. Legal rights, deadlines, and remedies depend on the jurisdiction and contract.
Missing papers: what they do and do not tell you
Missing documentation reduces the available evidence about a watch’s identity, provenance, and service history. It does not, by itself, establish that the watch is counterfeit. Ask what specific record is absent and what other evidence connects the watch to the seller and its history.

Brand records are not interchangeable
Procedures differ by manufacturer. Patek Philippe says its Certificate of Origin identifies the movement, case, and reference numbers and “can unfortunately never be re-issued.” Its Extract from the Archives is a partial transcript of archive records, not a replacement certificate. Patek Philippe’s current page sets eligibility conditions, including a first sale more than 10 years before the request, a limit of one request per watch in any 12-month period, and photographs for visual comparison; it also states a CHF 500 fee, refundable if the watch is ineligible. Confirm current terms directly with Patek Philippe before relying on them. See its Watch Authenticity FAQ.
Rolex Certified Pre-Owned is a distinct program, not a general way to replace papers on any privately sold Rolex. Rolex says eligible watches are authenticated and tested at Rolex workshops, then offered through certain authorized Official Rolex Retailers with official documents, a brand-issued guarantee card, and a two-year international guarantee. Rolex also states that “Only Rolex can confirm the authenticity of a Rolex watch.” Details are on its Certified Pre-Owned certification page.
Mismatched papers: stop and resolve the discrepancy
A genuine document can become separated from its original watch. If the serial or reference differs, do not accept the document as support for the offered watch, and do not assume the mismatch is harmless. Preserve images of both, ask the seller for a written explanation, and have the watch and document checked independently.

The Watch Register’s 2024 anniversary report describes how unrelated papers can complicate recovery and may lead to an innocent seller’s watch being flagged because of paperwork associated with another watch. The report says the provider processes over 200,000 searches annually; that is a provider-reported search-volume figure, not a measure of how often mismatched papers or stolen watches occur. The available sources do not establish a dependable prevalence rate for missing or mismatched papers.
Get identity checks done safely
Do not open the watch yourself
Begin with visible markings and document details. Some identity information is internal: Patek Philippe says movement numbers are inside the watch and case numbers are inside the caseback. It advises that caseback removal be performed only by an Authorized Retailer or Authorized Service Center. If internal numbers or movement inspection are needed, use an appropriate professional; do not open the case yourself. See Patek Philippe’s guidance on watch authenticity.
Choose the right kind of professional
A manufacturer can explain its own records and procedures; an authorized service center or qualified watchmaker can inspect the physical watch; a screening service can check the records it holds. These are different tasks, and none is a universal substitute for the others. When selecting an inspection, ask:

- Can the provider handle this exact brand and model?
- Can it inspect the movement and check configuration, if appropriate?
- Will its written report identify the watch by serial or reference and state what was examined?
- Does it check any lost-or-stolen database? If so, which one and what geography does it cover?
- Can it verify the document with the issuer?
- What are the fee, turnaround time, return process, and limits of the conclusion?
For a Rolex, distinguish an independent opinion from confirmation by Rolex itself. For another brand, ask what the manufacturer can verify and whether it can issue any relevant record. A loupe may help read small print or visible markings; it cannot authenticate a watch, establish title, or justify opening the case.

Use lost-or-stolen checks as one part of due diligence
Ask the seller to cooperate with a serial-number screening check, and get professional help if a search returns a match or an ambiguous result. A. Lange & Söhne describes Enquirus as a free registration platform for uniquely identified watches and says it can be useful to pre-owned buyers. Registration and searching are different actions, so confirm what a buyer can currently search and whether the service is available in your location on its Services page.
Breguet offers a missing-timepiece lookup but says its list is “purely indicative and non-exhaustive,” and is based on third-party submissions that Breguet does not verify. A no-match result therefore does not prove clean title. The Watch Register’s 2024 report also discusses serial searches and fragmented brand databases. When the stakes justify it, check more than one appropriate channel, but do not describe any single database as complete. See Breguet Services and The Watch Register’s 2024 anniversary report.

Evaluate service records on what they actually document
Ask for an itemized invoice or service card showing the service provider, date, work performed, and enough information to identify the exact watch. A record that can be confirmed with its issuer is more useful than a vague claim that the watch was “just serviced.” A service record establishes only the work and identity it actually documents; it does not automatically prove authenticity, complete ownership history, or that every component remains original.
Patek Philippe permits a recent service invoice in place of serial-number images in a limited circumstance for an archive request during the service guarantee period. That is a narrow document-submission rule, not a general substitute for missing papers. Check the brand’s current Extract from the Archives guidance.

Decide whether the deal still makes sense
There is no substantiated universal discount for a watch without papers. Weigh the exact reference, condition, service evidence, seller reputation, return rights, and included items alongside the documentation uncertainty and possible resale friction. Patek Philippe says it does not provide current resale values and recommends asking an auction house or specialist dealer; see its Watch Authenticity FAQ.
For a private or online purchase, put any inspection condition and return terms in writing before payment. If you have already completed the transaction, preserve the evidence and contact the seller promptly; do not assume a particular remedy or deadline without checking the rules that apply to your location and contract.
